Chong Hua Hospital is looking to hire an experienced and highly motivated Inventory Planning Analyst under Supply Chain Management – Inventory Management, which is responsible to ensure that medical, surgical, pharmaceutical and engineering supplies classified as inventory in the hospital in both sites are properly accounted for.Â
S/he is responsible for facilitating the physical counting and verifying the accuracy of inventory for all inventoriable supplies within the hospital. S/he also assists in identifying discrepancies and reviewing the corrective and preventive actions to maintain accurate inventory data. Also, s/he drafts reports detailing inventory accuracy, discrepancies and identified variance trends and proposes actionable recommendations to the units to optimize inventory accuracy. Also, s/he is responsible for developing and conducting cycle count audit across all affected units. Assists in drafting summary of report for the cycle count compliance to ensure proper implementation of the units.
Additionally, s/he is responsible in drafting procedures related to the execution of the position functions and coordinating with the applicable concerned persons / units in the conduct of his/her duty. Supports in the review of stock level, near-expiry and expiry supplies in the hospital. Communicates with his/her immediate superior with regards to the progress and potential problems in the unit and performs other duties as directed by his/ her immediate supervisor.Â
Job Duties & Responsibilities
These tasks are subject to change depending on the nature of service of the division/department or business direction. Â
- Creates and maintains the Calendar of activities (e.g. training, monitoring, audits, etc.)
- Implements the formulated plans to achieve the expected results within the identified timelines (e.g. on time execution of cycle count and physical inventory activities)
- Facilitates smooth execution for the transactions and disposal of approved write-off items.
- Discusses any findings in the performance of his/her function with immediate superior for his/her monitoring and review to determine what will be communicated to department/units concerned which includes strategies, and KRA & KPI metrics.
- Ensures effective communication by addressing inventory management issues with relevant units as directed, reporting all activities and outcomes to superiors, and promptly informing them of any deviations from standards on the same day they occur.
- Ensures compliance with safety protocols and practices, including good warehousing and OSHA standards, while promoting staff adherence to the same.
- Builds, maintains and elevates relationships with CHH internal and external stakeholders by consistently ensuring the delivery of excellent customer service in the conduct of all activities relevant to the performance of her/his function and in the conduct of all activities in the unit/ department. Â
- Analyzes processes, policies and procedures based on research gathered data. Sample include/s but not limited to:
- Monitoring and reviewing expired and near-expiry items, preparing trend analyses and other required reports.
- Analyzing physical inventory and cycle count variances, including helping the units in identifying causes.
- Providing other relevant data as requested by immediate supervisors or management.Â
- Contributes to the development of, or recommends updates and changes to, policies and procedures aimed at continually improving service quality within the unit or area.Â
- Conducts analyses and provides recommendations for changes, updates, and innovations in processes, policies, procedures, or standards within the department to enhance service quality.Â
- Responsible for the review and streamlining of processes and policies to continuously improve the quality of service in the department.Â
- Leads or directs the team or creates functional team to identify performance gaps and formulate strategic interventions to continuously improve on identified areas for improvement, when required
- Oversees the development and placement of safety strategies and continuous quality improvement of service initiatives in the department.
- Involves oneself in the planning and execution of his/her professional development in collaboration with the immediate superior; monitors progress and completion of trainings required to establish his/her career or set for the next likely role.Â
- Performs other duties and responsibilities as may be assigned or requested by immediate superior or management from time to time.
Qualifications
- A graduate of bachelor’s degree in Business Management or Supply Chain related course.
- With at least three (3) years of relevant work experience in inventory planning or storeroom administration work or inventory management.
- Healthcare industry experience is a plus.Â
- Strong analytical skills, attention to details and numbers, etc.Â
- Strong background in problem solving techniques, root-cause analysis, and investigation, is desired.Â
- Good presentation skills.Â
- Demonstrated understanding of basic corporate office software, including Microsoft Office 365 applications.Â
